Important reminders about Reserves

This is a reminder that Reserve items must stay in the library (unless they are a 1-day or 3-day loan) and cannot leave the library without the permission of the faculty member who has placed the item on Reserve. Sometimes a faculty member wants to borrow an item that another faculty member has placed on reserve. It is critical that we ask permission first — feel free to ask the faculty member to inquire directly with the other professor re: special permission. We had an unfortunate incident recently involving a Reserve DVD at Music — the item was not available for the professor to use and it affected a class presentation that day.

Please ask a supervisor if you’re ever unsure about loaning out a Reserve item. On a similar note, please alert a supervisor if a Reserve item is overdue, and we will follow up with the borrower immediately, and also alert the faculty member if the item is severely overdue. Communication is key! Thanks for your help with this.

Easier way to do the daily password

1. Copy the daily username and password from the email.
2. Open the “daily password” Word doc on the supervisor desktop.
3. Go to Tools –> Letters and Mailings –> Envelopes and Labels
4. Paste into the text box (add the date beforehand if you so desire)
5. Click ” Print”
6. Because the printer is expecting labels, you will need to push the “go” button on the printer.

Loaner Equipment Bookings – Check Location

When booking loaner equipment, remember that we have 3 locations – Main, Music and Armstrong – that loan out equipment. It is really important that you know where the equipment lives and that the borrower knows where to pick it up. Today a borrower came to pick up an LCD projector – the projector at Armstrong was booked for them, and they came to pick it up at Main. :-(
Tip – when looking up equipment in Mill Circ, you can sort by location – and easily see where something lives, and then book – if available – the equipment at the location most convenient for the borrower. In addition – when booking equipment, always confirm the pick-up location.

mace=Armstrong
muce=Music

Electric stapler at Armstrong out of order

FYI, the electric stapler at Armstrong suddenly stopped working today.   I’m having someone look at it tomorrow, but no guarantees.   Please explain to students we’re trying to resolve this issue as soon as possible.

Magnetic media – Reminder

An important reminder to all students who work at any circulation desk.    Older media, such as VHS tapes, and cassette tapes are vulnerable to magnets.    Our desensitizing equipment have magnets in them.   If any older media comes in contact with these magnets they will be erased.   Also magnetic strips in credit cards, IDs and floppy disks are vulnerable to magnets, so keep all these away from the desensitizers.   Main students this includes the check in machine.

Can’t Find It? Reported Missing?

When you can’t find the library material you are looking for or someone reports an item missing, here is what to do:
Look it up in Mill Circ – and verify status (is it already checked out, or marked missing?), location (where is it supposed to live?), last activity date (long-gone or maybe recently used) – these can be helpful clues in finding it
Place it on hold for the borrower and change the status to missing
Print item record (summary view)
Now search all possible places for it
If you are unable to leave the front desk and search for it immediately, refer it to (or set it aside for) a Circ supervisor
If not found after a thorough search, refer to a supervisor to cancel the hold so that the borrower is alerted that it was not found
Always suggest NExpress – or if not available in NExpress, suggest ILL – and show them how if they are unfamiliar with the process.

Daylight Saving Time ends

A reminder that Daylight Saving Time ends at 2:00am on Sunday morning, so set your clocks BACK one hour before going to bed on Saturday night. Please make sure you arrive on time for your shift! And yay for an extra hour of sleep!
